USPS Certified Mail Forms Printing Software

Print addresses and other variable information onto existing preprinted Certified Mail forms and green return receipt cards, rather than filling each one out by hand. We're evaluating a Windows program for offices that use physical postal forms.

This is a product-interest page, not a purchasable download. USPS Certified Mail forms printing is not part of the current Shipping Documents Pro software.

Preprinted forms

Four USPS forms we're evaluating

These forms serve different purposes. The proposed product would help position data on postal stationery or generate appropriate firm-mailing lists where allowed. It would not purchase postage, generate official USPS barcodes or substitute for acceptance at the Post Office.

3800

PS Form 3800 — Certified Mail Receipt

The familiar green receipt and article-number label used with Certified Mail. The printing challenge is positioning recipient information and other applicable entries on the stock you already have.

3811

PS Form 3811 — Domestic Return Receipt

The physical green return receipt card. An aligned printing workflow could help prepare the delivery-address side and match it to the related mailpiece.

3665

PS Form 3665 — Certificate of Mailing, Firm

A list of mailpieces presented for evidence of mailing. CSV import and consistent list formatting may matter more here than overlay printing on existing stock.

3877

PS Form 3877 — Firm Mailing Book

A consolidated record for accountable mailings. An office preparing many pieces may benefit from saved mailing records and consistent entries.

Always verify the current edition and applicable USPS acceptance requirements. Some firm-mailing documents can be computer-generated rather than printed over blank stock. This site is not affiliated with or endorsed by USPS.

Potential Windows application

From Excel addresses to precisely printed postal forms.

The proposed workflow is designed for law offices, property managers, collection departments and other businesses that prepare many certified mailings. Instead of typing a recipient address repeatedly, import a list and print the fields needed on the physical forms.

Import recipients from Excel/CSV
Save sender, recipient and article-number records
Print only variable text on supported preprinted stock
Calibrate horizontal and vertical alignment by printer
Produce matching batch records for office reconciliation

These are proposed capabilities only. Compatibility with specific forms, printers or USPS procedures has not yet been tested.

Help shape the product

Which USPS forms do you actually use?

We are measuring demand before building a separate Windows program. Let us know which form numbers you use, your printer model, approximately how many mailpieces you prepare each month and whether you have mailing addresses in an Excel file.

What this is not

It is not a USPS postage-payment service, a substitute for an official USPS barcode or an electronic Certified Mail tracking platform. It is a proposed alignment-printing tool for people already using physical USPS forms.

For everyday shipping invoices, packing lists and bills of lading, see our currently available Shipping Documents Pro.

FAQs

USPS forms printing questions

Is this certified mail software available for download?

No. We are evaluating whether to develop this separate product. The available Shipping Documents Pro installer does not print onto USPS Certified Mail forms.

Can I print a barcoded Certified Mail label on ordinary paper?

Do not assume a home-printed label can replace USPS-approved barcode labels or acceptance procedures. This proposed tool is about aligning text on existing forms and preparing records, not creating or replacing official postage or USPS-issued identifiers.

Would it print onto PS Forms 3800 and 3811?

Those are priority forms being evaluated. The exact stock, size and printer would need to be verified before we could promise compatible printing.

Would it handle a batch from an Excel or CSV file?

Batch address import is one of the proposed features. Please contact us with your approximate monthly volume to help determine whether it should be prioritized.
